Step by Step Guide how you can easily report and manage defects directly from the Mobile Drawings page

Site Engineers and Project Coordinators need quick and intuitive ways to capture and update defects while on-site. Here's how you can easily report and manage defects directly from the Mobile Drawings page.


1. Quick Access Using the “+” Button

How to Find It:

  • Open the Drawings page on your mobile device.

  • Tap the “+” button at the bottom-right corner.

Two Ways to Use:

  • With Items Ticked:

    • Select specific items on the drawing first.

    • Tap “+” to report defects directly linked to these items.

  • Without Items Ticked:

    • Just tap “+” to report a defect without linking (you can link later).


2. Selecting a Record Type

After tapping “+”, you'll see options:

  • Report defect

  • Add task

  • Add material

  • Add container

  • Add location

Tip: If an option isn't visible, double-check your permissions or project settings.


3. Reporting a Defect

Steps to create a defect:

Tap “Report Defect”:

  • If your project includes a “Defect” record type, you'll see this option.

Create Defect:

  • ID Auto-Generated: Defaults to something like “DEF-001”. Each new defect increments the suffix (e.g., “DEF-002,” “DEF-003”).

  • Record Type: Automatically set to your project's defect type (you can change it before saving; locked after).

  • Add Photos: Quickly attach photos to show the defect clearly.

Cancel or Confirm:

  • Tap “Save” to confirm and create the defect.

  • Tap “Cancel” to discard your changes.

Note: If you ticked items before creating the defect, the link to those items appears automatically on the drawings page once saved.


4. Adding Other Record Types (Tasks, Materials, Containers, Locations)

Steps to create other Record Types:

The process for adding tasks, materials, containers, or locations is similar:

  • Tap “+”.

  • Choose Add task, Add material, Add container, or Add location.

ID Auto-Generation: Each category has its own prefix, e.g.:

  • Materials: MAT-001, MAT-002

  • Containers: CON-001, CON-002

  • Locations: LOC-001, LOC-002

  • Tasks: TASK-001, TASK-002

Record Type Selection:

  • You can select or change the record type before saving.

  • Once saved, the record type cannot be changed.

Cancel or Confirm:

  • Tap “Save” to confirm and create the record.

  • Tap “Cancel” to discard your changes.

Note: If you ticked items before tapping “+”, your new item will be automatically linked to those items. Otherwise, it will be created unlinked.


5. Tips & Best Practices

  • Use Tick Boxes First for Linking: If you want to link new items to existing ones, tick them before tapping “+”.

  • Attach Photos: Visual references help stakeholders quickly understand defect issues.

  • Check Permissions: If you can't see a record type, confirm your user permissions or check whether the project has that record type enabled.

Q1: Why can't I see “Report defect” in my menu?

  • A: Ensure your project includes a Defect record type and verify your permissions.

Q2: Can I rename auto-generated IDs?

  • A: Yes, you can rename IDs during the initial creation.

  • A: You can change the record type before saving. Once saved, the type is locked.
