1️⃣ Getting Started: Create Your Account

Haven't signed up yet? No worries! Creating your account is the first step towards unlocking the full potential of Matrak. Follow our simple registration process to get started. Here's 👉 How to create a Matrak account.

Step 1: Creating a New Project in Matrak

Starting a new project in Matrak is quick and easy. Here's a simple guide to get your project up and running in no time.

Please note this step is optional if you were invited to another project as a collaborator.

Before You Begin, You'll Need:

  • Project Name

  • Project Address

  • Admin Name and Contact Details (Email/Mobile)

  • Project Start Date (When manufacturing begins)

  • Project End Date (Expected)


Here's How to Do It:

To create a new project, you'll need to first navigate to Matrak's project setup page.

You can get here either by:

  1. Selecting "create a new project" from Matrak's sign in screen

  2. Selecting the “create a new project" from your project dropdown list in your main header navigation bar

5 Step Project Setup

Step 1: Project Name: Begin by entering your project's name and selecting the Continue setup button.

Tip: For an even faster setup, use the Select a previous project to copy dropdown to duplicate one of your previous projects, including all of its record types.



Step 2: Trades Selection: Choose from the selection the trades you'll be working with to tailor your project setup from the start. Matrak's industry insights recommend beginning with these trades to keep your project on track


Step 3: Supply Chain Visibility: Select which areas of your supply chain you'd like better visibility of. Matrak helps you connect your entire supply chain from design through to handover and on-going maintenance.

Step 4: Feature Select: Choose the Matrak features you plan to use most. This helps us customise your experience and guide you through onboarding, ensuring you discover features that best suit your team's needs.

Step 5: Material Tracking: Lastly, choose the materials you want to start tracking. Based on your selections, we'll set up your project with relevant templates to get you up and running as quickly as possible.


Step 2: Invite people to join your project

Inviting people from your company and external companies to join Matrak is the next important step to take to start collaborating.

The more people on a Matrak project making updates, the more data you can gather and the better insights you'll have into the health of your construction project. Stay on top of your inventory, streamline your workflows, and reduce the risk of delays or errors.

Step 3: Confirm Go-Live dates and details with your CSM

To ensure a smooth setup and onboarding process, Matrak requires a 4 week lead time before your Matrak project GO-LIVE date.

To help us serve you better, please share the following information with your Customer Success Manager (CSM) via email:

  1. Supply Chain Start Date: When do you anticipate your supply chain operations to commence?

  2. Matrak Planned Go-Live Date: When do you plan to fully implement Matrak in your operations?

  3. Key End Users: Identify three individuals from your team who will be primary users of Matrak for this project. For each person, please provide their name, job title or role, and contact information.

  4. Ideal Workflow: Describe your ideal process or how you want Matrak track the materials. This will help us understand how Matrak can best fit into your daily operations.

2️⃣ Project Set Up: Adding Project Data to Matrak

Efficiently manage your project in Matrak by adding and tracking data through our versatile platform. Whether your preference is to use interactive drawings, Bill of Quantities (BOQ), Excel sheets, or a combination, we're here to support your project's growth. Follow this guide to begin, and remember, it's easy to incorporate/add more data as your project progresses.

Step 1: What you need to provide us

  • Drawings:

    • Accepted Formats:

      • PDF files (Printed). Please ensure these files do not contain interactive elements.

      • For enhanced clarity, we recommend using grayscale for your submissions.

    • File Size and Quantity:

      • The maximum file size we can accommodate is 100MB. There is no limit to the number of drawings you can upload. However, please be aware that larger files may take a few minutes to appear after uploading. We appreciate your patience during this process.

    • Visibility and Identification:

      • Ensure that the Panel ID or tag for each item is clearly visible on your drawings. If Drawings are not available then we can use your BOQ.

  • Bill of Quantities (BOQ): Uploading materials via Excel is simple and fast. If you don’t have or need drawings you can get going straight away. Matrak only has two required fields, ID and Record Type, although you can add as many descriptions as you need. Your BOQ should be in Excel or CSV format. It's crucial to ensure:

    • No Duplicate IDs: Each ID must be completely unique across the document to avoid confusion. Avoid using repeated combinations of level, material type codes, and serial codes within the same batch.

    • Clean Data: Ensure to include both the “ID” and “Record Type” columns to maintain accurate and well-organized data. If your drawings feature unique panel IDs, you might find this step optional. For more details on file setup, please click 👉 here.

  • Inspection Test Plans (ITPs): ITPs should be in a clearly labeled format, whether Word, Excel, or PDF. (Optional documents)


Step 2: Uploading Your Drawings

Elevate Your Project Overview

Unlock a dynamic visual representation of your project's progress with Matrak's interactive drawings feature. Seamlessly incorporate and track your plan drawings, elevations, and shop drawings.

Please note: After uploading your plans to Matrak, our take-off team gets to work, making your drawings interactive and accurately tracking materials and areas. Please allow up to two weeks for this detailed process, as the time needed can vary based on the number of drawings.

What You'll Need:

  • Drawings: PDF files without interactive elements, presented in single sheets and grayscale, featuring clear, readable unique IDs or mark-ups.

Steps to Upload Drawings:

  1. Select "Plans/Drawings" from the menu on the left.

  2. Click "Upload Drawings" and drag and drop your PDFs into the pop-up window. You can upload multiple drawings simultaneously.

  3. Include any additional details you'd like Matrak to capture.

  4. Click "Upload".

Tips:

  • As your project progresses, feel free to add new drawings, levels, and revisions.

  • If your drawings lack tags, we can still make them interactive using your BOQ. For assistance, contact [email protected].

Step 3: Uploading a BOQ or Material Lists

Starting your project without drawings? Uploading a material list via Excel is straightforward, requiring only two essential fields: ID and Record Type.

What you'll need:

  • A well-formatted Excel spreadsheet of your materials, ensuring no duplicate IDs and including the necessary details for your project.

  • Your Matrak project will have the following included: ID & Record Type.

Steps to Upload Materials:

  1. Ensure your Excel spreadsheet is ready with unique, non-duplicated IDs and all relevant fields.

  2. To align your project's record types (item categories) with the columns in your Bill of Quantities (BOQ) Excel file, utilize the 'Edit Record Types' feature.

  3. Navigate to "Custom Report page " and follow below step on upload CSV or Excel file to Matrak.

Step 4: Uploading ITPs or QA (Optional)

Implementing Inspection and Test Plans (ITPs) is a crucial aspect of quality assurance. To optimize the effectiveness of your quality management system, you can configure a tailored ITP checklist for your unique record types all within our platform.

Please note: Only Admin access users will have access to these functions. If you are a Viewer or editor, you will not have access or be able to see this page.

Book your Sample Review Meeting

During this Sample Review meeting, you’ll meet with your CSM and our take-off experts. We’ll walk you through what we’ve set up so far, listen to any feedback you have, and tweak things as needed. We want to make sure you’re totally happy before we dive into the full project setup.


3️⃣ Let's Dive Deeper and Make Some Updates

  • In Matrak you can use the interactive colour coded drawings to update the status of your materials or tasks and communicate that work is complete. Below are step-by-step instructions for how to update a status from your interactive drawings page from Matrak's web and mobile application.

  • In Matrak's Custom Reports page, there are various interactive fields that allow you to update and manage your records efficiently. From lists and date cells to text cells and linked records, this guide will provide you with a comprehensive overview of how to use and maximize these features.

  • In Matrak, you can effortlessly generate and print QR codes for specific materials, records, containers, and stillages. These QR codes can be scanned using the mobile app's built-in QR scanner or any external scanner — eliminating the need for manual searching or guesswork. Manufacturers, subcontractors, and site teams in the construction industry can easily scan QR codes to access and update packing list information, material/task statuses, and details without any hassle.
